Rental Terms & Conditions
1. Agreement & Acceptance
By accepting delivery of rental equipment from Tecna, the customer agrees to these terms and conditions in full. Any modifications to these terms must be agreed in writing before the rental period begins.
2. Rental Period
2.1 The standard rental period is 14 calendar days from the date of delivery or collection. Extended rental periods must be agreed in advance, and any equipment retained beyond the agreed rental period will incur additional daily hire charges.
2.2 Late returns will incur a charge with costs increasing if delays impact future bookings.
3. Responsibility & Care of Equipment
3.1 The customer assumes full responsibility for the rental equipment from the moment of delivery or collection until its safe return to Tecna.
3.2 The customer must ensure the equipment is used appropriately, kept in good condition, and returned in the same state as received, subject to fair wear and tear.
3.3 For dry hire agreements (where the customer installs and dismantles the equipment themselves), the customer accepts full responsibility for its safe installation, use, and disassembly.
3.4 If Tecna installs the equipment but leaves it in the customer’s care, the customer assumes liability for any damage, theft, or loss for the duration of the hire period.
4. Collection & Return of Equipment
4.1 The customer is responsible for returning the equipment to:
Tecna, 5-6 Chancerygate Way, Farnborough, Hampshire, GU14 8FF
4.2 Equipment must be securely packaged in its original condition and returned via a tracked and signed-for service to ensure safe delivery.
4.3 A Job ID or order reference and company name must be included with the return to enable efficient processing.
4.4 Failure to return equipment on time may result in additional hire charges and/or full replacement costs if the delay affects other rental agreements.
5. Damage, Loss & Charges
5.1 Any loss, damage, or modification to the equipment beyond reasonable wear and tear will result in additional charges. The customer agrees to cover full retail replacement costs for any irreparable damage, loss, or unreturned items.
5.2 Examples of chargeable damage include (but are not limited to):
• Structural modifications such as cutting, drilling, or bending framework.
• Unremoved adhesives such as Velcro residue.
• Missing or damaged components including bayonets, comb inserts, remote
controls, or cables.
• Misuse of AV equipment, resulting in internal or external damage.
5.3 Charges for damages will be based on Tecna’s current retail pricing.
5.4 If returned equipment requires additional refurbishment or cleaning, a repair and restoration fee may be applied.
6. Liability & Insurance
6.1 Tecna is not responsible for any injury, loss, or damage resulting from the use or misuse of rental equipment.
6.2 The customer is fully liable for any damage caused to the equipment while in their possession. It is recommended that customers have insurance in place to cover the cost of rental equipment in the event of theft, loss, or accidental damage.
7. Termination of Rental Agreement
7.1 Tecna reserves the right to terminate the rental agreement immediately and recall the equipment if:
• The customer is in breach of these terms.
• The equipment is being used improperly, unsafely, or for any unauthorised purpose.
• Payment terms have not been met.
8. Payment & Charges
8.1 Rental charges must be paid in full before dispatch, unless otherwise agreed in writing.
8.2 Any additional charges for late returns, damages, or replacements will be invoiced separately and must be paid within 7 days of issue.
